Job Title

We are seeking a highly organized and detail-oriented Administrative Assistant to support our Director and ensure the smooth operation of all departments.

  • Office Management: Ensure daily operations run smoothly, including managing office supplies, equipment, and facilities.
  • Administrative Support: Provide administrative support to senior management and coordinate with different departments to streamline processes.
  • Policy Implementation: Ensure compliance with company policies and procedures, and assist in updating them as needed.
Key Responsibilities
  1. Daily Operations: Oversee daily activities, ensuring seamless functioning of office operations.
  2. Administrative Support: Assist senior management with tasks, coordinating efforts across departments for efficient process streamlining.
  3. Policy Implementation: Ensure adherence to company policies and procedures, contributing to their updates as required.
Requirements
  • Prior Experience: Previous experience in a Scheduling or Purchasing Officer role within the construction, real estate, or project management industry.
  • Proficiency in Tools: Proficient in Excel, Trello, and project management tools such as Wunderbuild (or similar software).
  • Cloud-Based Systems: Strong understanding of Google Drive and cloud-based file management systems.
  • Negotiations: Experience in supplier negotiations, cost management, and purchasing processes.
  • Analytical Skills: Ability to analyze costs and optimize purchasing efficiency.
  • Communication: Excellent communication and stakeholder management skills.
  • Multitasking: Ability to multitask, prioritize workloads, and work efficiently in a remote environment.
