Site Outreach Specialist

We're seeking a results-driven professional to own and run our site outreach campaigns. As a Site Outreach Specialist, you will identify the right doctors, build precision-targeted lead lists, and execute end-to-end outreach strategies.

Key Responsibilities:
  • Design and execute doctor outreach campaigns for clinical trial site activation by researching and filtering doctors using tools like Google and NPI Registry.
  • Use clinical judgment and U.S. standard of care research to identify the right specialists and exclude poor fits.
  • Build targeting frameworks using CPT, ICD-10, and claims logic to create effective outreach strategies.
  • QA all lists before launch to ensure quality, specialty match, and targeting precision.
  • Create SOPs and research playbooks to standardize repeatable outreach.
  • Write and iterate outreach emails that drive replies.
  • Manage outreach coordinator(s) - assign work, check quality, and coach improvement.
  • Run email sequences in Mixmax or similar tools.
  • Triage replies and hand off to the PM or Medical Director for NDA and qualification.
  • Track outreach performance in Airtable or CRM.
Requirements:
  • High-context outreach experience in healthcare, clinical research, or healthtech.
  • Understanding of how doctors actually work, including how specialties function, how referrals happen, and how the U.S. system delivers care.
  • Ability to reverse-engineer who's seeing the right patients and how to filter them.
  • Systems-driven with experience building playbooks, workflows, and logic trees.
  • Capability of managing junior staff and getting the best out of them.
  • Excellent written communication skills and ability to write persuasive outreach copy.
  • Comfortable in Airtable, ChatGPT, Mixmax, and using Google Sheets or lightweight CRMs.
  • Able to spot failure patterns early and fix them proactively.
