Estimator Coordinator Position

This role is focused on coordinating and tracking bid proposals from initiation to submission, ensuring all estimate packages include vendor quotes, subcontractor bids, takeoffs, specifications, and scope clarifications.

Key Responsibilities:
  • Bid Package Management: Coordinate and track bid proposals, maintaining accurate records of bid history and progress.
  • File Organization: Organize files for executive review and maintain consistent folder structures.
  • Soliciting Quotes: Solicit and track supplier and subcontractor pricing, maintaining a database with key partners.
  • Document Management: Ensure all quotes are documented and properly saved for reference.
  • Collaboration: Collaborate with estimators on bid deadlines and scheduling.
  • Pinnacle Software Tracking: Assist with Pinnacle software tracking and document management.
  • Reporting and Calendar Management: Generate summary bid reports and maintain a bid calendar.
Administrative & Compliance:
  • Prequalification Packages: Prepare and submit prequalification packages, forms as required.
  • Audit and Historical Review: Ensure bid records are saved and easily accessible for audit and historical review.
  • Delegation of Authority Process: Support the implementation of a Delegation of Authority (DOA) process to route bids for internal approvals.
Requirements:
  • Proven Remote Work Experience: Must have prior remote work experience and a proven ability to self-manage in a virtual setting.
  • Microsoft Excel Proficiency: Strong proficiency in Microsoft Excel is a must (pivot tables, lookups, formatting, etc.).
  • Attention to Detail and Communication Skills: Detail-oriented with strong organizational and follow-up skills, excellent written and verbal communication skills.

The ideal candidate should be able to prioritize tasks effectively, manage multiple projects simultaneously, and maintain accurate records.

Responsibilities will involve managing multiple priorities, collaborating with teams, and working independently. The successful candidate will possess excellent organizational skills, attention to detail, and effective communication skills.
