Remote Virtual Assistant Job Description

We are seeking a highly organized and proactive Virtual Assistant to support our senior leadership in a remote work environment. This role will be responsible for managing the CEO's calendar, scheduling meetings, and coordinating appointments across multiple time zones.

Key Responsibilities:

  • Manage the CEO's calendar, schedule meetings, and coordinate appointments across multiple time zones.
  • Handle email correspondence, prioritize messages, and draft responses on behalf of the CEO.
  • Prepare, organize, and distribute documents, presentations, and reports using productivity tools.
  • Conduct research and provide concise summaries to assist the CEO in decision-making.
  • Coordinate virtual meetings, including preparing agendas, taking detailed notes, and following up on action items.
  • Maintain organized digital files and ensure timely retrieval of information.
  • Act as a liaison between the CEO and internal/external stakeholders.

Qualifications:

  • A bachelor's degree in the related field is preferred.
  • Previous experience as a virtual assistant, executive assistant, or in a similar role supporting senior leadership is required.
  • Background in supporting C-level executives is preferred.
  • Excellent English skills (written and verbal) with the ability to draft professional emails and documents.
  • Proficiency in Google Workspace (Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint).
  • Tech-savvy and comfortable learning new tools and software as required.
  • Familiarity with project management tools is preferred.
  • Experience working with a remote team and across time zones is also preferred.
  • Strong organizational skills and attention to detail.
  • Ability to multitask, prioritize effectively, and meet deadlines in a dynamic environment.
  • High level of discretion and ability to handle sensitive information with confidentiality.
