Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to provide administrative support to our team. The successful candidate will have excellent communication skills, be able to multitask efficiently, and possess strong organizational skills.
Key Responsibilities- Administrative Support:
- Manage office supplies, equipment, and general office maintenance.
- Answer phone calls, emails, and inquiries, and direct them to the appropriate person.
- Maintain organized filing systems (physical and digital).
- Prepare correspondence, memos, and reports as needed.
- Assist in preparing lease agreements, contracts, and other documents.
- Assist in supporting tenant move-in/move-out processes (documentation, coordination with maintenance, etc.).
- Regularly visit company properties to coordinate with building maintenance and security teams for repairs, inspections, and upkeep.
- Handle tenant concerns and requests, escalating to the Manager when needed.
- Assist in compliance with permits, licenses, and regulatory requirements as needed.
- Assist in monitoring rental payments, issuing invoices, and tracking collections as needed.
- Proven experience as an Administrative Assistant, Office Assistant, or similar role.
- Background in real estate, property management, or leasing industry preferred but not required.
- Strong organizational and multitasking skills.
- Excellent communication skills (oral and written).
- Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with digital filing systems.
- Ability to handle sensitive information with confidentiality.
- Customer-oriented and able to interact professionally with tenants and vendors.
