Administrative Support Specialist

 

This role is ideal for someone who thrives on progress, knows how to juggle priorities across departments, and loves supporting sales-related functions.

As a member of our team, you will be responsible for providing exceptional administrative support to our VP of Sales and VP of Business Development. Your primary focus will be on managing calendars, inboxes, travel logistics, and communications for these executives.

You will also schedule internal and external meetings across multiple time zones, ensuring all parties are aligned and prepared. Additionally, you will prepare materials for meetings, workshops, and conferences, including agendas, presentations, and travel arrangements.

Responsibilities include:

  • Managing calendars, inboxes, travel logistics, and communications for the VP of Sales and VP of Business Development.
  • Scheduling internal and external meetings across multiple time zones, ensuring all parties are aligned and prepared.
  • Preparing materials for meetings, workshops, and conferences, including agendas, presentations, and travel arrangements.
  • Reviewing CRM (HubSpot) regularly to identify follow-ups, schedule stakeholder meetings, and support deal progression.
  • Conducting outreach (email and phone) to connect with decision-makers and schedule discovery or follow-up meetings.
  • Researching schools and districts to find missing contacts or key stakeholders and update CRM records accordingly.
  • Tracking touchpoints, updating notes, assigning tasks, and ensuring CRM records are accurate, current, and visible across teams.

Requirements:

  • Proven experience as an Executive Assistant, Sales Coordinator, or similar support role in a fast-paced, collaborative environment.
  • Excellent organizational skills, attention to detail, and ability to juggle multiple priorities without missing a beat.
  • Strong communication skills - clear, professional, and confident when reaching out to stakeholders or navigating competing demands.
  • Experience using CRM tools (HubSpot preferred), Google Workspace, and other digital productivity platforms.
  • A proactive, self-starting mindset - you're someone who sees what needs to be done and makes it happen.
  • Ability to shift between internal team coordination and client-facing communication with ease and professionalism.
  • Comfort with research, outreach, and appointment setting - you're not afraid to dig in, follow up, and close the loop.
