Facilities Coordinator Role

This position plays a pivotal role in ensuring the smooth operation of our workplace environment.

Key Responsibilities
  • Optimize workplace layout through effective seat allocation, space reservations, and utilization tracking.
  • Evaluate and manage facilities setups for employees and events to guarantee seamless execution.
  • Coordinate procurement activities, including vendor sourcing, purchasing, and invoice processing to maintain efficiency.
  • Maintain accurate records of vendors, oversee accreditation and performance, and manage asset tagging for effective inventory control.
  • Schedule and monitor deployment and attendance of security, housekeeping, and technical staff to ensure timely delivery of services.
  • Administer parking and locker assignments, track usage, and generate data reports to inform decision-making.
  • Process badge issuance, replacements, and returns, as well as manage permits and passes to ensure compliance.
  • Track delivery, consumption, and replenishment of facility supplies to prevent stockouts and optimize budgeting.
  • Categorize, dispatch, and monitor facilities service requests and reporting to facilitate prompt resolution of issues.
  • Support employee onboarding, clearance, and facilities-related activities to ensure a seamless transition into the organization.
  • Coordinate procurement of tools and support maintenance operations to minimize downtime and optimize resource utilization.
  • Maintain managed room calendars and generate space usage reports to inform strategic planning and optimization efforts.
  • Participate actively in emergency response procedures and technical/safety training programs to ensure readiness and preparedness.
  • Prepare and submit monthly reports to contribute to continuous improvement efforts and inform organizational decision-making.

The ideal candidate will possess excellent organizational and multi-tasking skills, with a strong ability to manage diverse responsibilities and prioritize tasks effectively. A positive team attitude, excellent interpersonal skills, and proficiency in Microsoft Office and other office automation tools are essential for success in this role.

Required Skills and Qualifications
  • 4–6 years of experience in facilities operations.
  • Bachelor's Degree in Engineering or a related field.
  • Strong organizational and multi-tasking skills, with a proven ability to manage diverse responsibilities and prioritize tasks effectively.
  • Excellent interpersonal skills and a positive team attitude.
  • Proficiency in Microsoft Office and other office automation tools.
  • Ability to communicate effectively in local and English languages.
  • Familiarity with regulatory compliance, health and safety standards, and energy/waste management practices.
