
Real Estate Portfolio Coordinator

The Property Management Assistant will support our team in managing a diverse portfolio of properties. This role is ideal for someone with excellent organizational skills, attention to detail, and the ability to multitask.
Key Responsibilities:- Property Management:
- Assist in property management tasks such as lease administration, rent collection, and eviction processes. The ideal candidate will have experience with property management software and be proficient in Microsoft Office Suite.
- Maintain accurate property records, including lease agreements, maintenance records, and tenant information. Strong communication skills are essential for this role.
- Coordinate property inspections and maintenance work orders. The ability to work independently and as part of a team is necessary for success in this position.
- Data Entry:
- Input and update property and tenant information into property management software (Buildium). Proficiency in Microsoft Excel is highly desirable.
- Process rental payments and other financial transactions in QuickBooks. Excellent problem-solving skills are required for this role.
- Maintain accurate and up-to-date records in ClickUp. The ability to prioritize tasks and meet deadlines is essential.
- Tenant Communication:
- Respond to tenant inquiries and concerns in a timely and professional manner. Excellent written and verbal communication skills are necessary for this role.
- Handle tenant move-ins and move-outs, including conducting walkthroughs and processing security deposits. Strong attention to detail is required.
- Enforce lease terms and resolve tenant issues. The ability to remain calm under pressure is essential.
- Vendor Coordination:
- Coordinate with vendors for maintenance and repair services, including scheduling appointments and approving invoices. Experience with vendor management is highly desirable.
- Negotiate contracts and pricing with vendors. Strong negotiation skills are required.
- Oversee vendor performance and resolve any issues. The ability to build strong relationships with vendors is essential.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with property management software (Buildium) preferred.
- Ability to work independently and as part of a team.
- Excellent written and verbal communication skills.
- Strong problem-solving and decision-making abilities.
