We are seeking a highly skilled and organized professional to join our team as an Executive Assistant. As a key member of our organization, you will be responsible for providing administrative support to our directors and managing various projects and operations.

Job Description:

The successful candidate will have a minimum of 4 years of experience in an administrative or executive assistant role. They will also possess strong project management skills, with experience using tools such as Asana and Google Workspace.

In addition, the ideal candidate will have excellent written and verbal communication skills, as well as the ability to work independently and manage remote tasks. They will be tech-savvy, with experience working with marketing technology tools and CRM systems.

Responsibilities:

  • Administrative Support
    • Prepare client proposals and engagements, ensuring they align with brand and content guidelines.
    • Manage directors' calendars, scheduling meetings, prioritizing tasks, and ensuring time is effectively allocated.
    • Organize travel arrangements, including flights, accommodation, and itineraries. Draft and proofread emails, reports, contracts, and client communications.
  • Project & Operations Management
    • Set up and manage client projects in Asana, tracking tasks and deadlines.
    • Generate client progress reports and draft invoices.
    • Assist in the preparation and refinement of internal company procedures.
  • Tech & Systems Management
    • Maintain and organize company files and documentation within Google Workspace (Docs, Sheets, Slides, Drive).
    • Assist in implementing new marketing tech tools to improve efficiency and workflow.

Required Skills & Qualifications:

  • Minimum 4+ years experience in an administrative, executive assistant, or similar role.
  • Project management experience: Asana experience preferred.
  • CRM experience (Hubspot preferred) for managing contacts and outbound messaging.
  • Google Workspace (Docs, Sheets, Slides, Gmail, Drive) competence.
  • Canva skills for content creation and light design work.
  • Marketing tech tools knowledge (email automation, CRM integrations, LinkedIn outreach).
  • Strong written and verbal communication skills in English.
  • Ability to work independently, manage remote tasks, and take ownership of responsibilities.
  • Strong attention to detail, organization, and project management skills (Asana preferred).
