Job Overview

We are seeking a highly organized and detail-oriented Administrator to support the Director and ensure the smooth operation of all departments. The ideal candidate will have excellent organizational skills, strong communication skills, and the ability to identify and resolve administrative and operational issues proactively.

The successful candidate will oversee daily operations, including managing office supplies, equipment, and facilities. They will also provide administrative support to senior management and coordinate with different departments to streamline processes.

Key Responsibilities
  • Office Management: Ensure smooth functioning of office operations, manage office supplies, equipment, and facilities.
  • Administrative Support: Provide administrative support to senior management and coordinate with different departments.
  • Policy Implementation: Ensure compliance with company policies and procedures.
    • Human Resources: Assist in recruitment coordination, employee records maintenance, and onboarding process facilitation.
    • Financial Administration: Assist in budget management, invoice processing, and financial reporting.
  • Communication: Serve as a central point of contact for internal communications and manage relationships with external vendors, clients, and partners.
  • Project Coordination: Provide administrative support for ongoing projects, maintain project databases, and ensure all project-related information is up-to-date and accessible.
Requirements
  • Prior experience in a scheduling or purchasing officer role within the construction, real estate, or project management industry.
  • Proficiency in Excel, Trello, and project management tools such as Wunderbuild.
  • Strong understanding of Google Drive and cloud-based file management systems.
  • Ability to analyze costs and optimize purchasing efficiency.
  • Strong organizational skills with keen attention to detail.
  • Excellent communication and stakeholder management skills.
  • Ability to multitask, prioritize workloads, and work efficiently in a remote environment.
Payment Cycle and Cash Flow
  • Invoices must be submitted by the 25th of each month for timely processing.
