Executive Support Specialist

This is an exciting opportunity to join our dynamic team as a skilled executive support specialist. As a key member of our operations team, you will play a critical role in ensuring the seamless execution of all business and client-facing operations.

Key Responsibilities:

  • Manage inbox, calendar, scheduling, and routine requests with precision and attention to detail.
  • Handle invoicing, expenses, and coordination with financial systems effectively.
  • Plan domestic/international travel and trade missions with expertise.
  • Maintain and improve standard operating procedures via the Agile Operations Playbook.
  • Oversee client onboarding, contracts, and project setup efficiently.
  • Prepare high-quality intelligence briefings for workshops.
  • Support trade mission logistics, partner engagement, and milestones successfully.
  • Coordinate stakeholder networks and handle non-strategic client communication professionally.
  • Review AI outputs for quality and accuracy.

Requirements:

  • Experience: 3+ years as a remote Executive Assistant, Project Coordinator, or similar role, supporting senior executives/founders in fast-paced environments.
  • Operations & Client Support: Skilled in inbox/calendar management, travel logistics, invoicing (financial systems), client onboarding, workshop prep, stakeholder coordination, and data room management.
  • Project & Deliverables: Experience coordinating trade missions/events, managing SOPs/playbooks, and handling client communications effectively.
  • Ai & Tech Proficiency: Comfortable working with AI tools for drafting, research, and workflow optimization.
