OptimalBooks is a property management support company that works with real estate investors and property managers across North America, helping them achieve Time, Financial, and Location freedom through the implementation of remote property management techniques with back-office management and fulfillment.
Leadership Team ProfileOur Leadership Team comprises experienced professionals from Big 4 Accounting and Consulting backgrounds as well as seasoned property managers who have successfully managed commercial and residential portfolios for top companies.
ResponsibilitiesYou will be a vital part of daily operations and growth strategy, focusing on three key areas:
- Phone Call Management & Dispatching
- As the first point of contact for clients, you will handle all incoming calls. Your duties include dispatching calls to the right team members, taking accurate and detailed messages, and quickly learning our team structure to ensure smooth communication.
- Business Development Support Function
- You'll work closely with the Business Development Manager. Your support will be crucial to our growth, managing a database of prospects, following up on leads, preparing management agreements using Zip Forms, and handling new client onboarding paperwork.
- Database Maintenance
- Responsible for maintaining our database of prospects, ensuring all information is accurate and up-to-date.
We are seeking a highly motivated and organized individual who has:
- Problem-Solving Skills: Able to solve problems and make decisions independently.
- At Least 2 Years of Customer Service Experience: Proven track record of providing exceptional service.
- At Least 2 Years of Sales or Business Development Experience: Experience with lead management and client onboarding is a significant advantage.
- A Positive Attitude: A pleasing, upbeat personality is essential, as you will be the voice of our company.
- Effective Communication Skills: Ability to communicate clearly and professionally, both verbally and in writing.
