We are seeking a highly organized and proactive assistant to support an architecture manager with daily administrative and coordination tasks. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities.
Duties and Responsibilities- Sort and prioritize emails, draft responses, and flag urgent messages
- Open and organize tasks for the architecture manager
- Maintain task management systems and follow up on pending items
- Schedule meetings, manage calendars, and coordinate project timelines
- Handle basic document organization and report preparation
- Ensure efficient workflow by assisting in administrative duties as needed
- Minimum 3 years of experience as an executive assistant, project coordinator, or similar administrative role, preferably in architecture or construction
- Strong organizational and time management skills
- Excellent English communication skills (both written and verbal)
- Experience with email management and task management software
- Proficiency in Microsoft Office (Word, Excel) and Google Suite (Docs, Sheets)
- Ability to handle confidential information with discretion
- Work full-time from 9 AM - 5 PM EST
- Work from home
