Order Operations Lead Job Description

We're seeking a highly skilled Order Operations Lead to join our team. As a key member of our operational leadership, you will be responsible for managing the day-to-day execution and management of the order to cash cycle, ensuring seamless customer delivery, invoicing, and payment collection.

This is an exciting opportunity for someone who is passionate about process improvement and has experience in automating workflows using connectors like Zapier, Make, N8N, Parabola, etc. If you have expertise in EDI, B2B, and manual orders, with strong ERP system experience, we'd love to hear from you.

Responsibilities:
  • Lead Day-to-Day Execution: Oversee the order to cash cycle, ensuring timely and accurate processing, and resolving any issues that may arise.
  • Customer Support: Provide exceptional support to customers throughout the pre-order activities, including systemic setup, writing SOPs, and ensuring customer orders are ready to process.
  • Process Improvement: Identify areas for improvement and implement sustainable processes and systems to enhance efficiency and scalability.
  • SOP Development: Write and manage order operations SOPs specific to different sales channels and customers.
  • Data Integrity: Maintain accurate data integrity in all order operations systems associated with order entry, fulfillment, management, and invoicing.
  • Month-End Reconciliation: Lead month's end reconciliation and provide fully vetted reporting to stakeholders showing accurate orders in all systems.
  • Workflow Automation: Create workflows using connectors like Zapier, Make, N8N, Parabola, etc., to reduce repetitive manual work.
Requirements:
  • Expertise: Possess expert-level knowledge of automations, including Zapier, Make, N8N, and ability to spot connections between systems to smooth out manual processes.
  • Communication Skills: Demonstrate excellent written and verbal communication skills in a customer-facing role.
  • Organizational Skills: Showcase elite organizational skills and attention to detail.
  • Process Orientation: Display process-oriented thinking with the ability to identify issues, create scalable processes, and implement them with team members.
  • Experience: Have 2+ years of experience working in US food & beverage order operations with distributors like UNFI & Kehe and retailers like Target.
  • Leadership Experience: Possess experience managing direct reports and leading teams.
  • Customer Focus: Demonstrate a customer-focused mindset with an unrelenting desire to provide world-class customer service while keeping the company's best interest in mind.
  • Killer Instinct Mentality: Show a willingness to roll up sleeves, figure stuff out, and get things done even when tasks seem small or outside your wheelhouse.
