Job Description

We are seeking a highly skilled and compassionate Remote Intake Specialist to join our team. As a key member of our support staff, you will be responsible for providing exceptional customer service to patients, answering phone calls, gathering information, scheduling appointments, and coordinating with doctors.

As a Remote Intake Specialist, you will play a vital role in ensuring that patients receive timely and efficient care. You will work closely with doctors and other healthcare professionals to coordinate appointments, gather medical information, and communicate with patients and their families.

You will have excellent communication and interpersonal skills, as well as the ability to remain calm and composed in high-pressure situations. Your strong organizational and problem-solving skills will also be essential in managing multiple calls, scheduling appointments, and troubleshooting technical issues.

Key Responsibilities

  • Answer and manage intake phone calls from patients in a friendly and professional manner.
  • Gather detailed client information, including personal details, location, and a summary of symptoms or chief complaints.
  • Schedule same-day or urgent appointments accordingly and coordinate appointment times by matching patient availability with on-call doctor schedules.
  • Communicate promptly with doctors to confirm their availability and provide them with necessary patient details.
  • Send out confirmation details and informative follow-ups to patients and doctors via email.
  • Document any outcomes or feedback and address any additional patient needs or questions that arise post-visit.

Requirements

  • Experience in a customer service, patient intake, or call center role is required.
  • Excellent communication and interpersonal skills are essential.
  • Able to remain calm and composed in high-pressure situations.
  • Strong organizational and problem-solving skills are necessary.
  • Proficient in using technology to facilitate workflow, including electronic medical record (EMR) systems and scheduling software.
  • Ability to multitask and prioritize urgent situations appropriately.
