The Medical Virtual Assistant / Intake Coordinator plays a pivotal role in patient intake, administrative support, and healthcare coordination. This position ensures a seamless intake process while managing patient information, scheduling, and communication in a healthcare environment.
Key Responsibilities- Patient Intake Management: Collect and verify patient demographic and insurance information for effective care delivery.
- Appointment Scheduling: Coordinate and schedule patient appointments with healthcare providers to minimize wait times.
- Medical Record Handling: Ensure accurate data entry and management of patient records in Electronic Health Record (EHR) systems for optimal healthcare services.
- Insurance Verification: Assist in checking coverage and eligibility for medical procedures to prevent delays.
- Patient Communication: Handle inbound and outbound calls, responding to inquiries with professionalism and empathy to build trust.
- Pre-Appointment Preparation: Gather necessary medical history and documentation before consultations to ensure informed decision-making.
- Coordination with Healthcare Providers: Facilitate communication between patients, providers, and insurance representatives to streamline the care process.
- HIPAA Compliance: Maintain confidentiality and ensure adherence to healthcare privacy regulations to safeguard sensitive information.
- Administrative Support: Assist with medical billing, claims processing, and other administrative duties as needed to maintain operational efficiency.
- Experience in medical administrative support or patient intake coordination to drive success.
- Familiarity with EHR systems such as Epic, Cerner, or eClinicalWorks to enhance productivity.
- Knowledge of medical terminology and insurance processes to navigate complex scenarios.
- Strong organizational and multitasking skills to manage competing demands.
- Excellent verbal and written communication skills to engage stakeholders effectively.
- Ability to handle sensitive patient information with discretion and professionalism to maintain trust.
- Proficiency in Microsoft Office Suite, Google Workspace, and healthcare scheduling software to optimize workflow.
- Background in medical billing and insurance verification is a plus to add value.
- Previous experience in a remote healthcare support role preferred to capitalize on flexibility.
