As a Service Support Coordinator I, you will play a crucial role in ensuring the timely and accurate processing of customer orders.

Job Description

This position is responsible for receiving, assigning, and processing ERS and HVM order requests via email notifications and mailbox. The ideal candidate will generate order numbers for projects from quote configurators, open, approve, and update projects using Oracle and SMS for maintenance, acceptance, and professional projects.

The successful applicant will ensure that checklist requirements such as credit limits, purchase orders, estimate sheets, proposals, LOA, PERF, and email approvals are met and uploaded in SharePoint or eFolder. They will also match revenues and costs from price books and proposals to SMS for intercompany projects.

In addition, the selected individual will maintain tracking sheets of orders in Excel and prepare weekly and monthly reports. They will respond and coordinate with sales engineers, business administrators, and managers for any necessary approvals, disputes, and follow-ups.

The role involves updating payment terms and discounts and credit limits in Oracle, ensuring all project documentation is properly maintained in SharePoint, and synchronizing files with correct service center codes using order numbers as keys generated in quote configurators.

The successful candidate will also requisition customer numbers for new billing and shipping addresses, review and print job assignment sheets from Oracle to ensure nothing is missed during printing and uploading to proper service center codes in SharePoint.

They will change status in workflows when email notifications are received for change orders and proactively process OTS backlogs. This role requires acting as a liaison to assure timely and efficient administration of orders, providing a responsive service-oriented interface for customers and field sales, and resolving matters pertaining to order administration, completion, and post-order activities within-house groups, reps, sales offices, factories, suppliers, and customers.

The impact of change orders will be appropriately communicated and executed both internally and externally, and timely responses will be provided to order inquiries regarding pricing, lead time, and order status. The selected individual will demonstrate complete order accuracy, minimizing order errors and invoice adjustments.

They will perform accurate and timely order entry into Oracle Projects systems, allowing effective performance to meet customer requirements, and assure all order details are accurate and conform to customer needs and service center capabilities.

Required Skills and Qualifications
