
Executive Operations Support Specialist

We are seeking a highly capable professional to support our leadership team in optimizing firm-wide operations and driving business growth.
This role goes beyond administrative support; it is designed for a proactive professional who can oversee cross-departmental initiatives, support client services, and contribute to the firm's sales and marketing efforts.
Key Responsibilities- Core Focus
- Support the Operations Manager in overseeing firm-wide initiatives and workflows.
- Route inquiries efficiently to relevant departments and monitor timely resolution.
- Track progress on departmental initiatives and provide regular updates to leadership.
- Assist in designing, implementing, and improving workflows for efficiency.
- Client Services & Experience
- Monitor client communications to ensure consistency and high-quality service delivery.
- Support the implementation of service standards and client satisfaction metrics.
- Collaborate with leadership to identify and proactively resolve client service issues.
- Reporting & KPI Management
- Compile reports on firm-wide metrics, including operations and client services.
- Support data analysis to identify opportunities for performance improvement.
- Flag delays, risks, or bottlenecks impacting departmental KPIs.
- Bachelor's degree in Business Administration, Operations Management, Communications, or a related field.
- Minimum 5 years of experience in operations, project coordination, or executive support.
- Proven ability to handle cross-departmental reporting and KPI tracking.
- Law firm or legal services experience is preferred but not required.
- Native-level fluency in English with excellent verbal and written communication.
- Strong organizational, research, and planning skills.
- Analytical mindset with the ability to translate data into actionable insights.
- Comfortable engaging with external stakeholders and business partners.
- Proactive, tech-savvy, and solutions-oriented.
Technical Proficiency (Required)
- monday.com: Highly proficient in setting up boards, automations, dashboards, and workflows for task tracking and project planning.
- AI Tools: Highly adaptable, with demonstrated ability to leverage AI functionalities to improve efficiency, reporting, and decision-making.
- CRM: Salesforce or similar.
- Productivity & Scheduling: Google Workspace, Microsoft Office, Dialpad, Zoom.
