Our organization seeks a diligent and detail-oriented professional to serve as an Operational Assistant. This role involves managing various backend operations, ensuring seamless efficiency in our daily tasks.

Key Responsibilities:
  • Administrative Support
    • Manage operational documents, workflows, and trackers.
    • Audit and oversee Hubstaff time tracking for contractors and external staff.
    • Prepare client contracts using established templates.
    • Track deadlines and ensure critical actions are followed up on.
  • Financial Operations
    • Own and manage the invoicing process, ensuring timely payment for all hours worked.
    • Assist in processing salary and contractor payments, maintaining accurate records.
    • Support finance-related administrative tasks, including receipts, documentation, and reconciliations.
    • Proactively identify and resolve payment discrepancies or red flags.
  • Research & Coordination
    • Conduct research on relevant awards, events, and partnerships, applying findings as needed.
    • Support ad hoc projects, market research, and executive reporting.
    • Help manage calendars, reminders, and weekly execution checklists.
Requirements:
  • Bachelor's degree or higher in Finance, Accounting, Business, or a related field.
  • Proven experience in administrative, financial operations, or operational support roles.
  • Strong analytical and organizational skills, with attention to detail.
  • Experience handling complex invoicing operations.
  • Independent and resourceful, with initiative.
  • Thrives in fast-paced environments and stays focused under pressure.
  • Effective communication skills, both written and verbal.
