Job Description

We are seeking a highly skilled Operational Support Specialist to collaborate with our leadership team in optimizing firm-wide operations and driving business growth. This role goes beyond administrative support; it is designed for a proactive professional who can oversee cross-departmental initiatives, support client services, and contribute to the firm's sales and marketing efforts.

The Operational Support Specialist will work closely with the CEO and Operations Manager to ensure smooth day-to-day operations, efficient client service delivery, and measurable progress in firm development initiatives.

Key Responsibilities
  • Operations & Project Coordination: Assist the Operations Manager in overseeing firm-wide initiatives and workflows.
  • Route inquiries efficiently to relevant departments and monitor timely resolution.
  • Track progress on departmental initiatives and provide regular updates to leadership.
  • Support the design, implementation, and improvement of workflows for efficiency.
Client Services & Experience
  • Monitor client communications to ensure consistency and high-quality service delivery.
  • Support the implementation of service standards and client satisfaction metrics.
  • Collaborate with leadership to identify and proactively resolve client service issues.
Reporting & KPI Management
  • Compile reports on firm-wide metrics, including operations and client services.
  • Support data analysis to identify opportunities for performance improvement.
  • Flag delays, risks, or bottlenecks impacting departmental KPIs.
Qualifications
  • Bachelor's degree in Business Administration, Operations Management, Communications, or a related field.
  • Minimum 5 years of experience in operations, project coordination, or executive support.
  • Proven ability to handle cross-departmental reporting and KPI tracking.
  • Native-level fluency in English with excellent verbal and written communication.
