Job Description

We are seeking a detail-oriented and organized Coordinator to join our team. The ideal candidate will have excellent administrative skills, be able to multitask, and possess strong communication skills.

The Coordinator will be responsible for handling various administrative tasks, data entry, and project-based tasks assigned by the Manager. This may include assisting in the onboarding of candidates, monitoring missing timesheets, expenses, and invoice submissions, following up with Associates and Managers to ensure approval completion by Payroll Deadline cut-off.

The Coordinator will also assist the Program Team in maintaining data within the VMS and/or Client Facing Systems, and assist in end-of-assignment work.

Main Responsibilities:

  • Manage the general mailbox, providing timely and accurate responses to hiring manager and supplier inquiries.
  • Assist the Program Manager, Specialists, Hiring Managers, and Suppliers during all stages of the requisition and contingent worker management processes.
  • Support Onboarding & Offboarding activities, ensuring all onboarding steps are completed accurately and on time.
  • Monitor missing timesheets, expenses, and invoice submissions, following up with Associates and Managers to ensure approval completion by Payroll Deadline cut-off.
  • Facilitate assignment extensions, work order modifications, and ends within the VMS and/or Client Facing Systems.
  • End of Assignment Management, ensuring collection of Assets upon worker termination.
Required Skills and Qualifications

To be successful in this role, you should have:

  • High school diploma or equivalent.
  • 1-3 years' work experience as a recruiting assistant, staffing coordinator, or administrative assistant.
  • Proficiency in technology, including Microsoft suite of products and Adobe.
  • Knowledge of VMS, HRIS, or ATS systems.
  • Knowledge of office administrative procedures and use of standard office equipment.
