
Operational Support Specialist

Key Responsibilities:
- Administrative Support: Manage the general mailbox, responding timely and accurately to inquiries, and researching independently for resolution when needed.
- Program Management: Assist the Program Manager, Specialists, Hiring Managers, and Suppliers during all stages of the requisition and contingent worker management processes.
- Onboarding & Offboarding: Support Onboarding & Offboarding activities, ensuring all onboarding steps are completed accurately and on time.
- Reporting & Compliance: Monitor and report missing timesheets, expenses, and invoice submissions, sending email reminders to Associates and Managers.
- System Maintenance: Assist the Program Team in maintaining data within the VMS and/or Client Facing Systems, running compliance reporting, facilitating assignment extensions, and managing end of assignment work.
Requirements:
- Education: High School Diploma or equivalent required.
- Skills & Experience: 1-3 years' work experience as a recruiting assistant, staffing coordinator, or administrative assistant preferred.
- Software Proficiency: Proficient with Microsoft suite of products and Adobe, knowledge of VMS, HRIS, or ATS systems.
- Soft Skills: A team player with strong follow-up skills, attention to detail, good communication skills (written and verbal), and ability to take direction and escalate problems.
Work Environment:
This role operates in a professional office environment, requiring minimal travel and lifting files or objects up to fifteen pounds.
