Business Operations Specialist Job Description

We are seeking a highly organized and proactive business operations specialist to support our company. The ideal candidate will have excellent communication skills, customer service experience, and proficiency in scheduling, administration, and light marketing tasks.

Key Responsibilities:
  • Handle 15–20 inbound and outbound calls daily from new and existing clients
  • Respond to email and text inquiries, including follow-ups and accounts receivable reminders
  • Schedule jobs and assign them to the appropriate staff using our CRM system
  • Manage the lead pipeline through our sales platform
  • Update job statuses and customer information in our CRM system
  • Upload invoices to our accounting software
  • Create and post weekly updates on social media
  • Promote and leverage our company's online presence
  • Manage client's calendar and appointments
  • Handle light reporting and follow-up tasks as needed
Requirements:
  • Excellent English communication (verbal and written)
  • Previous experience handling inbound/outbound customer calls
  • Strong organizational and multitasking abilities
  • Comfortable learning and using platforms like our CRM system
  • Tech-savvy with good grasp of modern software tools
  • Experience in social media content management
  • Comfortable working independently and proactively
  • Familiarity with CRM and job management software (training provided)
