Job Title: Scheduling Coordinator

Scheduling Coordinators play a pivotal role in ensuring timely service delivery and fostering strong relationships with clients and staff. Detail-oriented professionals who thrive in fast-paced environments and are passionate about delivering quality care excel in this position.

Key Responsibilities:
  • Coordinate daily and weekly schedules for caregivers based on client needs, staff availability, and geographic location to ensure seamless care delivery.
  • Communicate schedule assignments and changes to caregivers and clients in a timely and professional manner to maintain open channels of communication.
  • Maintain accurate records in the scheduling system and update client and caregiver profiles as needed to ensure data integrity.
  • Collaborate with recruitment and HR teams to ensure adequate staffing levels and develop effective strategies to meet growing demands.
  • Provide exceptional customer service to clients and families, addressing scheduling concerns and inquiries in a prompt and courteous manner.
  • Monitor caregiver attendance and punctuality and report any issues to management to ensure compliance with company policies.
  • Assist with onboarding new caregivers by scheduling orientations and initial shifts to ensure a smooth transition into their roles.
Requirements:
  • High school diploma or equivalent required; associate degree preferred to demonstrate advanced skills and knowledge.
  • 1-2 years of experience in scheduling, administrative support, or customer service preferably in home care, healthcare, or service-based industry to showcase relevant skills and expertise.
  • Experience with home care scheduling platforms (e.g., ClearCare/WellSky, AlayaCare, AxisCare) to leverage technical skills and knowledge.
  • Strong organizational and time management skills to prioritize tasks and manage multiple responsibilities effectively.
  • Excellent communication and interpersonal skills to build strong relationships with clients, staff, and colleagues.
  • Proficiency in scheduling software and Microsoft Office Suite to utilize technology and tools efficiently.
  • Ability to multitask and remain calm under pressure to adapt to changing situations and deadlines.
  • Bilingual abilities are a plus to enhance language skills and cultural competence.
