The ideal candidate is highly organized, a strong communicator, and proficient in Microsoft Excel.

We are seeking a detail-oriented Bid Coordinator to support our estimating teams. This fully remote position plays a vital role in coordinating all aspects of the bid process, ensuring proposals are complete, accurate, and submitted on time.

  • Manage bid packages, track proposal timelines, and ensure estimate packages include vendor quotes, subcontractor bids, and scope clarifications.
  • Organize files for executive review, maintain consistent folder structures, and solicit supplier pricing.
  • Collaborate with estimators on bid deadlines and scheduling, generate summary bid reports, and maintain a bid calendar.

Strong proficiency in Microsoft Excel is a must, including pivot tables, lookups, formatting, etc.

Excellent written and verbal communication skills are required, as well as prior remote work experience and a proven ability to self-manage in a virtual setting.

Experience in construction, engineering, or MEP industries is a plus.

Key Responsibilities:

  • Coordinate and track bid proposals from initiation to submission
  • Ensure all estimate packages include necessary documentation
  • Maintain a bid contact database and ensure all quotes are properly saved

Administrative & Compliance:

  • Prepare and submit prequalification packages, bid bonds, and forms as required
  • Ensure bid records are saved and easily accessible for audit and historical review

Preferred Qualifications:

  • Experience in estimating tools (Pinnacle, PlanSwift, Bluebeam)
  • Prior experience supporting estimating, project management, or construction administration
