Job Summary

We are seeking a highly organized and detail-oriented project professional to support our sales, project management, and accounting teams.

This role requires strong communication and interpersonal skills, as it involves regular interaction with clients, manufacturers, and internal departments. The ideal candidate thrives in fast-paced environments, has excellent project management and organizational skills, and can effectively meet deadlines while managing multiple tasks.

Key Responsibilities
  • Process, track, and bill customer orders with accuracy and efficiency.
  • Assist in preparing product specifications, pricing research, and vendor discussions.
  • Submit and manage new customer and vendor forms for approval.
  • Support the development of client proposals as needed.
  • Verify and manage manufacturer orders, ensuring accuracy in details and specifications.
  • Utilize ERP software to manage order processing and documentation.
  • Work with project tools to create and review product specifications.
  • Follow up on order status, delivery schedules, and issue resolution to ensure smooth operations.
  • Maintain and update the order tracking system, providing regular reports.
  • Coordinate and confirm deliveries and installations with warehouses and client representatives.
  • Track warehouse receiving of products and ensure proper documentation.
  • Ensure client satisfaction by assisting with final approvals and addressing any concerns.
  • Process invoices and maintain well-organized project files.
  • Participate in team meetings and company initiatives.
Required Skills and Qualifications
  • Excellent English communication skills – both verbal and written.
  • Strong interpersonal skills – ability to interact effectively with clients and internal teams.
  • Highly organized with strong project management skills – able to manage multiple tasks efficiently.
  • Tech-oriented and comfortable with technology – must quickly adapt to various software tools.
  • Experience with ERP software is required.
  • Basic understanding of project tools and familiarity with project worksheets or similar tools.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to meet deadlines and work efficiently under pressure.
