Senior Office Coordinator

The Senior Office Coordinator plays a pivotal role in ensuring seamless operations, communication, and alignment with business objectives. This position requires exceptional organizational, communication, and problem-solving skills, as well as the ability to handle confidential information with discretion.

Key Responsibilities
  1. Executive Support
  • Manage executive schedules, travel arrangements, and correspondence.
  • Prepare meeting agendas, minutes, and follow-up action items.
  • Serve as the primary point of contact for executives.
  • Host meetings or conferences as required.
Administrative Coordination
  • Organize and maintain electronic and physical files.
  • Draft and proofread documents, presentations, and reports.
  • Manage expense reporting and budget tracking.
  • Handle ad hoc tasks to support executives and business operations.
Project Management
  • Oversee special projects and initiatives from start to finish.
  • Track project timelines, milestones, and deliverables.
Communication Management
  • Act as a liaison between executives and internal/external stakeholders.
  • Prioritize and screen incoming communication, responding on behalf of executives when appropriate.
Confidentiality and Discretion
  • Handle sensitive information with utmost confidentiality.
  • Ensure compliance with company policies and legal requirements.
Qualifications
  • Experience: 5+ years in executive support roles, preferably in fast-paced environments.
  • Education: Bachelor's degree in Business Administration, Communications, or related fields preferred.
  • Project management experience.
  • Proficiency in MS Office Suite and collaboration tools.
