Job Title: Operational Assistant

This is an excellent opportunity to join our organization and take on a role that combines administrative support with financial operations. As an Operational Assistant, you will be responsible for managing documents, trackers, and operational workflows.

Key Responsibilities:
  • Administrative Support
    • Manage documents, trackers, and operational workflows.
    • Audit Hubstaff time tracking for contractors and external staff.
    • Send client contracts using established templates.
    • Track key deadlines and follow up on critical actions.
  • Financial Operations
    • Own and manage invoicing process, ensuring hours are invoiced correctly and on time.
    • Assist with salary and contractor payments while keeping records organized.
    • Support finance-related admin tasks: receipts, documentation, reconciliations.
    • Proactively spot and resolve payment delays, discrepancies, or red flags.
  • Research & Coordination
    • Research awards, events, and partnerships to apply as needed.
    • Support ad hoc projects, market research, and executive reporting.
    • Manage calendars, reminders, and weekly execution checklists.
Required Skills:
  • Bachelor's degree in Finance, Accounting, Business, or related field.
  • Proven experience in administrative, financial operations, or operational support roles.
  • Strong analytical and organizational skills.
  • Experience handling complex invoicing operations.
  • Independent and resourceful with initiative.
  • Focused and efficient under changing priorities.
  • Detail-oriented with professional communication skills.
Nice to Have:
  • Background in staffing, outsourcing, or recruitment operations.
  • Confident to hold founders and stakeholders accountable.
  • Experience working in international startup environments.
  • Calculating financial metrics like burn rate, runway, churn, LTV/CAC.
  • Familiarity with tools like Notion, Google Workspace, Hubstaff, ClickUp, Xero/QuickBooks.
