
Remote Virtual Assistant

The ideal candidate will possess excellent organizational skills, attention to detail and the ability to multitask with ease. This role is perfect for those who enjoy being proactive, working independently and as part of a team.
Main Responsibilities:- Administrative Assistance:
- Manage and maintain digital and physical records, including data entry and document organization.
- Coordinate schedules, appointments and meetings across different time zones.
- Draft, review and distribute correspondence, reports and presentations.
- Conduct research, gather data and provide information to support decision-making.
- Prepare meeting agendas, minutes and follow-ups.
- Support the coordination of meetings, conferences and business development initiatives.
- Perform ad-hoc administrative tasks as needed to support various departments.
- Sales or Recruiting & Client Support:
- Provide administrative support to sales teams, including CRM management, sales tracking and client communication.
- Assist in implementing new sales programs, procedures and systems.
- Facilitate communication between internal teams and external stakeholders, including clients and vendors.
- Financial Management:
- Manage invoicing, accounts receivable collections and general bookkeeping tasks.
- Post financial transactions to accounting software and conduct monthly reconciliations for bank and credit card accounts.
- Support budgeting, financial reviews and preparation of confidential financial documents.
- Technical Capabilities:
- Utilize tools like Excel to organize data, create charts and generate reports.
- Manage and organize digital files and documents using Microsoft Office 365 or Google Workspace.
- Support project management efforts by tracking progress and communicating updates.
- Administrative Skills:
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Experience with data entry, record management and document organization.
- Sales or Recruiting Experience:
- Previous experience in sales, recruiting or client-facing roles.
- Strong communication and interpersonal skills.
- Ability to work in a fast-paced environment and meet deadlines.
- Financial Knowledge:
- Basic understanding of financial principles and practices.
- Experience with accounting software and financial transactions.
- Ability to manage budgets and financial reports.
- Technical Proficiency:
- Proficiency in Microsoft Excel and other productivity tools.
- Experience with project management software and tools.
- Ability to learn new technical skills quickly.
