Virtual Assistant - Paralegal/Law Firm Experience

This role is perfect for a highly organized and detail-oriented professional with experience in paralegal or law firm settings. As a Virtual Assistant, you will be responsible for providing administrative support to our legal team.


  • Main Responsibilities:
  • Draft and format legal documents such as Non-Disclosure Agreements (NDAs), client agreements, demand letters, and legal memos (under supervision)
  • Store, organize, and maintain legal files, contracts, and case-related documents in a secure and accessible manner
  • Conduct thorough research on public sources, case law, and government websites, summarizing findings effectively
  • Track court dates, hearings, client appointments, and ensure timely calendar updates using modern tools
  • Prepare lead lists, transcribe meeting notes or depositions, and summarize research data accurately
  • Coordinate meetings between attorneys and clients, manage calendars, and prevent scheduling conflicts efficiently
  • Respond to client inquiries professionally, make follow-up calls, and schedule appointments in a timely manner
  • Create and send client invoices, track payments, and log billable hours accurately
  • Maintain accurate records of expenses and case-related costs using financial software

  • Required Skills & Qualifications:
  • A minimum of 6 months to 1 year of experience as a Virtual Assistant
  • Experience working in a legal setting or with a law firm is highly preferred
  • Knowledge of basic legal terms, document formatting, and legal research tools is advantageous
  • Excellent communication skills via phone, email, and instant messaging platforms
  • Solid organizational & time management skills to meet deadlines and prioritize tasks
  • Able to work flexible hours, including graveyard shifts
  • Tech savvy & familiar with current technologies, such as desktop sharing, cloud services, and Voice over Internet Protocol (VoIP)
  • Proficient in Microsoft Office and Google Workspace (Docs, Sheets, Calendar, Drive)
  • Familiarity with legal or task management tools (e.g., Clio, MyCase, Trello, or Notion) is beneficial
