Job Summary

The Legal Intake Specialist plays a pivotal role in the healthcare medical records retrieval process. Ensuring every request is accurate, complete, and optimized for downstream success directly influences the speed and accuracy of medical record retrieval for clients.

This position involves reviewing incoming requests, identifying and researching healthcare providers, preparing accurate base forms, and conducting quality assurance checks on each submission packet. Additionally, it includes assigning requests to team members based on workload balance and utilization metrics, as well as handling special cases that require escalation to client success managers.

We are seeking an experienced professional with prior hands-on experience requesting health records from providers on behalf of law firms. The ideal candidate will possess exceptional accuracy, strong verbal and written communication skills, and a proactive problem-solving mindset. Proficiency with Adobe Acrobat and other PDF editing tools is also required.

Key Responsibilities:
  • Provider Research & Identification: Identify all relevant healthcare providers involved in a client's treatment, beyond the main facility listed. Research and locate billing providers and related entities using available tools and conduct comprehensive research.
  • Request Creation & Quality Control: Review incoming requests, correcting incomplete or inaccurate submissions. Prepare accurate base forms before generating submission packets. Conduct quality assurance checks on each submission packet, verifying inclusion of all required details such as cover letters, affidavits, and other documentation.
  • Request Assignment: Assign requests to team members based on workload balance and utilization metrics, ensuring efficient distribution of tasks.
  • Handling Special Cases: Identify and escalate special provider requirements to client success managers. Resolve missing, unclear, or conflicting information by liaising with case managers.

Requirements:

  • Prior hands-on experience requesting health records from providers on behalf of law firms.
  • Exceptional accuracy, with even small mistakes causing delays of several months.
  • Proficiency with Adobe Acrobat and other PDF editing/combining tools.
  • Strong verbal and written communication skills, with a proactive problem-solving mindset.
