About the RoleThis role involves coordinating logistics and work streams across various events, including venue sourcing and vendor coordination, on-site support, food & beverage selection, programming guidance, and post-event wrap-ups. You'll drive the execution of employee gatherings for our distributed workforce, bringing our events and gathering model to life.
You'll partner with our Sr. Events Manager to power the planning and flawless execution of employee gatherings, including small team gatherings, functional offsites, leadership meetings, and our flagship TT Connect program. This program brings together all PH employees and senior US leaders for a week of learning and celebration.
Key Responsibilities- End-to-end event logistics, including venue sourcing, contract routing, catering, A/V, travel, shipping, F&B, and day-of schedules.
- Building clear planning artifacts, such as timelines, run-of-show, checklists, and planning documents, to keep stakeholders aligned on milestones and responsibilities.
- Managing vendors, invoices, and contracts, including evaluating new venues/vendors, negotiating bids, and reviewing contracts.
- Serving as the first point of contact for attendee inquiries, managing travel and registration, drafting event communications, and producing post-event recaps.
- On-site operations, including setup, signage, registration, and troubleshooting.
- Relevant experience in events coordination, operations, or hospitality, preferably in a corporate or agency setting.
- Impeccable organization and attention to detail, comfortable juggling multiple timelines and priorities.
- A bias for action and getting things done, staying calm under pressure, and anticipating needs.
- Strong written and verbal communication skills.
- Knowledge of event, vendor, and budget basics, including quotes, contract routing, POs/invoices, and cost tracking.
- Proficiency with collaboration, PM, and event tools, such as Google Workspace, Swoogo, Navan, Coupa, and Ironclad.
