Job Description:

The role of Executive Administrative Assistant involves providing high-level administrative support to senior executives, ensuring seamless day-to-day operations and driving business success. Key responsibilities include preparing client proposals, managing calendars, scheduling meetings, prioritizing tasks, organizing travel arrangements, drafting and proofreading emails, reports, contracts, and client communications.

Project & Operations Management:

  • Set up and manage client projects in Asana, tracking tasks and deadlines.
  • Generate client progress reports and draft invoices.

Marketing & Outreach Support:

  • Utilize HubSpot for CRM management, contact tracking, and
  • Utilise LinkedIn for targeted outbound messaging.
  • Create visually appealing documents, presentations, and graphics using Canva.
  • Assist with marketing automation tools and outbound email/message campaigns.

Tech & Systems Management:

  • Maintain and organize company files and documentation within Google Workspace (Docs, Sheets, Slides, Drive).
  • Assist in implementing new marketing tech tools to improve efficiency and workflow.

Skills & Experience Required:

To be successful in this role, the ideal candidate must possess a minimum of 4+ years experience in an administrative, executive assistant, or similar role. Key skills and qualifications include project management experience, CRM expertise (Hubspot preferred), Google Workspace competence, Canva skills, marketing tech tools knowledge, strong written and verbal communication skills in English, ability to work independently, manage remote tasks, and take ownership of responsibilities.
