Under the supervision of the Financial Accountant, you will assume full responsibility for the entire process of accounts payable, guaranteeing both efficiency and accuracy throughout. Position Overview

  • The Accounts Payable Specialist is responsible for the day-to-day management of the Invoice mailbox and data entry of invoices to draft level.
  • Reporting to the Financial Accountant, will be responsible for the full function of Account Payable, ensuring efficiency and accuracy.
  • Manage email inbox.
  • Enter invoices & credit notes received into S2 (either NOR, NPL/NAH, or NSC) to draft.
  • Enter IFM Prompts & Non-Prompts into S2 (NOR) to draft & email once complete.
  • Check the Invoice Reminder folder, review emails & verify if invoices are in S2.
  • Forward revised/updated invoices.
  • Forward supplier queries.
  • Forward overdue emails.
  • Forward received statements.
  • Fulfill any other tasks or projects as advised by the General Manager of finance.

Key Outcomes

  • Accounts Payable invoice inbox is cleared to zero by the end of the day.
  • Monthly Supplier Statement Reconciliation completed by the 10th of each month.

Requirements

What do you need to succeed

  • Must possess a Bachelor's/College degree in a Finance-related field.
  • Should have a minimum of 3 years of relevant experience in Accounts Payable & data entry.
  • Prior experience in a freight forwarding company will be advantageous.
  • Have previously worked for a BPO company or in a shared environment, preferably with a foreign company.
  • Proficient in English comprehension and communication, both orally and in writing.
  • Comprehensive data entry skills with a high level of accuracy and attention to detail.
  • Advanced computer skills, including proficiency with Office 365 products.
  • Ability to focus on business objectives and a drive to succeed.
  • Capable of managing a high volume of tasks and prioritizing workloads.
  • Logical thinking and the ability to manage multiple tasks.
  • Must possess a high level of attention to detail.
  • Ability to work to time-critical deadlines.
  • Willingness to work on Philippine holidays and follow an Australian work schedule.
  • Amenable to working daytime hours (Monday to Friday 7 am to 4 pm, 6 am to 3 pm during DST).
  • Practical experience in Accounts Payable data entry.
  • Excellent communication and telephone skills, with the ability to communicate at all levels of the organization.
  • Highly driven with the ability to multitask.
  • Ability to prioritize, manage conflicting priorities, and coordinate several tasks simultaneously.
  • Good time management skills, capable of working towards and achieving deadlines.
  • Pleasant and professional phone manner, driven to provide superb customer service/satisfaction.
  • High attention to detail and accuracy.
