Job Summary:
The HR Assistant provides administrative support to the Human Resources department by assisting with various HR functions, such as recruitment, employee records management, payroll, and employee relations. This role is crucial in ensuring the smooth and efficient operation of HR processes and providing a positive experience for employees throughout the organization. The ideal candidate will be organized, detail-oriented, and able to maintain confidentiality.

Key Responsibilities:
Recruitment and Onboarding:
Assist in the recruitment process by posting job openings, screening resumes, and scheduling interviews.
Prepare offer letters and assist with the onboarding process for new employees.
Maintain and update candidate databases and recruitment records.
Employee Records Management:
Ensure employee files (physical and electronic) are properly maintained and updated.
Assist with the preparation of employment contracts, amendments, and other HR documents.
Ensure compliance with labor laws and company policies related to employee documentation.
Payroll and Benefits Administration:
Assist in the preparation and distribution of payroll information.
Help employees with questions regarding payroll, deductions, and benefits.
Coordinate benefits enrollment, changes, and general inquiries.

Training and Development:
Assist with scheduling employee training programs, seminars, and workshops.
Maintain records of employee training sessions and certifications.

Employee Relations:
Assist with addressing employee queries related to HR policies, benefits, and company procedures.
Support the HR team in resolving employee issues and grievances in a timely and effective manner.

Compliance and Reporting:
Help with the preparation of HR reports and statistics for management.
Ensure compliance with federal and state regulations by maintaining up-to-date HR records.
Assist in audits and ensure adherence to HR policies and procedures.

General Administrative Support:
Answer phone calls, emails, and inquiries related to HR functions.
Prepare and maintain HR-related documentation, reports, and correspondence.
Assist with other administrative tasks such as scheduling meetings, maintaining office supplies, and filing documents.

Qualifications:
Education:
High school diploma required; Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
Experience:
1-2 years of experience in an administrative or HR support role.
Experience in recruitment, payroll, and employee records management is a plus.
Skills and Abilities:
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HR software (e.g., HRIS, payroll systems).
Strong attention to detail and accuracy in handling sensitive employee information.
Excellent communication skills (written and verbal) and the ability to interact with employees at all levels.
Knowledge of HR policies, labor laws, and regulations is a plus.
Ability to maintain confidentiality and handle sensitive information.
