Executive Assistant for VP-HR

JOB MISSION / OBJECTIVE
- To provide support to the HR Vice President in the various tasks that are necessary in maintaining a smooth and efficient workflow process.
SPECIFIC DUTIES and RESPONSIBILITIES
- Provide high-quality personal and business administrative assistant support, as well as project management assistance to the HR Vice President.
- Act as the initial point of contact for the HR Vice President in his absence, assessing priorities and redirecting calls, inquiries, and requests as necessary.
- Provide high-level executive and administrative support by conducting research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, memos, letters, and minutes.
- Maintain the HR Vice President's appointment schedule by planning and scheduling meetings and event calendars, organizing all projects, conferences, and travel arrangements.
- Maintain records management and be in charge of the safekeeping of all confidential matters and documents, specifically the 201 files of confidential employees (from senior managers and up), HR 201 files, and all documents for filing in employees' 201 files.
- Perform regular administrative and management activities of the company such as receiving visitors, answering phone calls, recording incoming and outgoing correspondence, and delivering to appropriate addresses, ordering supplies, and liquidation.
- Prepare reports and presentations in project management.
- Perform other duties and responsibilities as may be assigned from time to time.
QUALIFICATIONS
- Knowledgeable in different facets of Human Resources.
- Must have a background in project management.
- Willing to work full onsite in Shaw, Mandaluyong.
