Lease Administration Specialist

Job Description Summary

The Lease Administration Specialist is responsible for maintaining an accurate and up-to-date lease database to support effective operational and financial management for occupier clients. The role involves managing rent payments, reconciling charges, and ensuring compliance with lease agreements and company policies.

Key Responsibilities:

  1. Lease and Data Management: Review and abstract real estate leases, maintain property databases, and ensure accurate data entry and updates according to internal SLAs.
  2. Financial Oversight: Verify and reconcile property invoices, manage expense adjustments, and audit CAM, insurance, and tax reconciliations for compliance.
  3. Client and Landlord Relations: Resolve disputes, recover overcharges, and communicate irregularities to clients, ensuring timely billing and reporting.
  4. Team Coordination and Leadership: Support junior team members, manage workload, assist in training, and act as backup for the line manager.
  5. Performance and Strategy: Drive contract performance reporting, support strategic initiatives, and contribute to data integrity and continuous improvement efforts.

About You:

  • Bachelor's degree with at least 5 years of experience; experience in corporate real estate, lease administration, or invoice processing is preferred.
  • Proficient in data abstraction and Microsoft Office tools.
  • Strong communication and presentation skills.
  • Ability to work independently and collaboratively across teams.
  • Motivated team player capable of engaging across a matrix organization.
