Job Title: Facility Executive - Soft Service
Job Description Summary
Responsibilities- Direct the planning and delivery of all facility related and administrative support services and activities at the site on a day-to-day basis.
- Make periodic inspections of the office building(s) and equipment to determine if janitorial, security and other services are adequate and whether repair work is needed; review safety and security equipment and procedures for adequacy.
- Assign and review work of subordinates, give instructions, maintain discipline and resolve difficult buildings and grounds maintenance and security/safety problems.
- Innovate, suggest and implement energy management ideas.
- Oversee the inventory, rental, repair and maintenance of office equipment; review with Client coordinator regarding various maintenance issues and improvement of building systems.
- Analyze and recommend solutions on complaint analysis.
- Maintain compliance with departmental security, audit procedures, and Client management policy.
- Manage the office services needed to support department operations.
- Prepare correspondence, statistical, financial and other reports; establish and maintain essential records and files.
- Coordinate with local authorities on behalf of Client.
- Supervise the staff involved in performing the functions of the assigned units.
- Develop and establish policies and objectives consistent with those of the organization to ensure efficient and safe operation.
- Responsible for overall upkeep of the site to high standards of operations, maintenance and cleanliness.
- Data gathering and reporting on all facility operations.
- Periodically check and amend checklists, operation steps, spares parts consumption analysis.
- Work in coordination with Client on day-to-day activities.
- Coordinate with OEM for service obligation as per AMC and in case of breakdown of system.
- Ensure all safety guidelines/requirements are adhered to by team members and vendors.
- Maintain discipline and quality of work by all staff.
- Organize and coordinate formal monthly meetings with Client and vendors.
- Conduct monthly reviews with various departmental managers – technical, soft services, etc.
- Prepare Daily, Weekly and Monthly reports for Client as per prescribed format.
- Arrange for monthly bills to be submitted to the Client.
- Coordinate payments of site contractors and sub vendors.
- Oversee activities of contractors, vendor personnel, and suppliers; monitor contracts for compliance and controls costs; monitor general expenditures; perform quality control inspections to ensure adherence to contract specifications and industry standards.
- Develop and implement ISO systems and processes to establish and maintain records for the operating unit.
- Develop annual operating budgets and provide fiscal direction to the unit planning and accomplishment of operations targets.

- Resolving grievances of onsite team
- Preparation and execution of 52 weeks PPM schedule for all critical and non-critical equipment within set SLA including Electrical, D.G, HVAC, BMS and safety-security systems.
- Maintenance of Mall infrastructure; third party vendor management; mall repairs and maintenance.
- Timely reporting of all updates to OML management.
- M&E spares inventory and record management; coordination with vendor for spares and PPM work.
- Co-operation with internal team for smooth soft skill operation.
- Proactively review workplace systems/processes to innovate and continuously improve the business performance and workplace experience.
- Performs other duties as requested by your direct manager.
- Occasional requirement to work extended hours during peak times or to assist with major functions/events.
- Development of operational standards / playbooks / operating manuals for all aspects of the business.
