I. JOB MISSION/SUMMARY

To account and reconcile receivable claims / rebate versus credit note payments and is responsible for ensuring the accuracy and completeness of accounts related to funds. This role involves verifying and reconciling customer accounts, investigating discrepancies, and ensuring that credit note payments are appropriately applied to outstanding claims. And also, to perform other accounting functions as needed.

II. DUTIES & RESPONSIBILITIES

  1. Ensure that sales reported in system roving POS and online transactions are uploaded in AX in a timely manner.
  2. Reconcile discrepancy in sales uploaded in AX against system records for online transactions.
  3. Follow-up online transaction sales reports.
  4. Monitor completeness of stores' end of day reports on or before the set deadline.
  5. Monitor accounts receivable for credit card transactions.
  6. Follow-up or generate Credit Notice for credit card collections from the bank.
  7. Ensure that bank payments to credit card transactions are properly accounted and applied.
  8. Ensure timely preparation of Daily Sales Transaction and Daily Balancing Reports for online transactions.
  9. Maintain a master file for daily sales summary from all sources.
  10. Ensure timely application of verified payments to Customers'Account (online transactions).
  11. Manage, monitor and replenish Petty Cash Fund assigned.
  12. Prepare Free Text Invoice for miscellaneous transactions.
  13. Process DM/CM for Xiaomi's credit note and prepare DM/CM for Xiaomi's clients.
  14. Computation and monitoring of Store rebates.
  15. Verify computation/summary of freight, insurance, telecom and other billings for payment.
  16. Validate Home Credit subsidy against system sales data.
  17. Manage, maintain and monitor folders related to CCF Fund and other Campaign Support.

Documentation and Record keeping

  1. Monitor and maintain accurate and up-to-date records (ledger tracker) of all claims and rebates
  2. Prepare detailed reports (top sheet) on reconciliations status, discrepancies found, and actions taken.
  3. Ensure all supporting documents for credit notes and receivables are properly filed and accessible.
  4. Coordinate with the sales departments to ensure smooth processing of credit notes to dealers.
  5. Prepare free text invoice for miscellaneous transactions
  6. Prepare statement of billings for claims / rebates.

Reports

  1. Prepare Daily Transaction Reports for online transactions.
  2. Prepare Daily Sales Summary from all sources.
  3. Prepare Summary of Credit Card Transaction Balance for online transactions.

III. JOB SPECIFICATION, COMPETENCIES AND PROFILE

  • Candidate must possess at least Bachelor's/College Degree of Accountancy, Business Management or any related course
  • At least 1-2Year(s) of working experience in the related field is required for this position.
  • Preferably 1-4 Yrs Experienced in reconciliation and general accounting.
  • Required Skill(s): Knowledgeable in standard costing application, Analytic with Strong problem-solving, With good oral and written communication skills, Flexible and can demonstrate sound work ethics
  • With knowledge in Fixed asset accounting, detail oriented and with Microsoft Dynamic Background and With strong excel background
  • Can able to offer advanced solutions based on collected, summarized, and analyzed data.
