The Administrative Manager is responsible for overseeing and coordinating the administrative operations of the organization. This includes managing office services, supporting departmental functions, streamlining processes, and ensuring efficient day-to-day operations. The role involves supervising administrative staff, handling office budgets, coordinating meetings, and providing executive support as needed.

Key Responsibilities:

Office Management:

  • Oversee daily office operations and ensure a smooth workflow.
  • Maintain office supplies inventory and manage procurement processes.
  • Organize and coordinate office layouts, ensuring a productive and safe working environment.

Team Supervision:

  • Manage and supervise administrative staff, providing guidance, training, and performance evaluations.
  • Allocate tasks and ensure that staff members meet deadlines and quality standards.
  • Foster a positive and collaborative work environment.

Budget and Financial Management:

  • Assist in developing and managing the office's budget.
  • Track and report on expenses, ensuring cost-effective operations.
  • Prepare financial reports related to administrative activities.

Communication and Coordination:

  • Act as the primary point of contact for internal and external communication related to administrative matters.
  • Coordinate meetings, schedules, and travel arrangements for executives or departments.
  • Organize and facilitate company events, conferences, and training sessions.

Process Improvement:

  • Identify and implement administrative process improvements to enhance efficiency.
  • Develop and maintain office policies, procedures, and best practices.
  • Stay current with administrative technology and trends to improve office productivity.

Document and Record Management:

  • Oversee the maintenance of accurate office records and files.
  • Ensure compliance with company and legal documentation policies.
  • Implement systems for easy access to records and documents.

Compliance and Risk Management:

  • Ensure compliance with relevant workplace safety regulations and standards.
  • Monitor and address administrative risks and provide recommendations for mitigation.
Requirements
  • Bachelor's degree in Business Administration, Management, or related field (preferred).
  • Proven experience in administrative roles with at least 3-5 years in a managerial capacity.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and office management software.
  • Ability to work under pressure and meet deadlines.
  • Strong problem-solving and decision-making abilities.
  • Leadership and team-building skills.
