Job Description- Office Administration:
- Manage daily office operations, including maintaining office supplies, equipment, and ensuring a tidy workspace.
- Handle scheduling, including appointments, meetings, and team calendars.
- Organize and maintain digital and physical filing systems.
- Client Support:
- Act as a liaison between clients and consultants, managing communication and ensuring timely follow-up.
- Prepare and format proposals, contracts, and reports for client presentations.
- Address client inquiries and escalate issues as needed.
- Document Preparation:
- Draft, edit, and proofread correspondence, presentations, and other business documents.
- Compile data and prepare reports for internal and client use.
- Event and Meeting Coordination:
- Organize team meetings, client sessions, and workshops, including booking venues and preparing materials.
- Record and distribute meeting minutes.
- Finance and Record Management:
- Assist in tracking invoices, payments, and other financial records.
- Maintain accurate records of projects, client details, and correspondence.
- Team Support:
- Coordinate travel arrangements for consultants, including transportation and accommodations.
- Assist in onboarding new team members and providing orientation on office procedures.
- Education and Qualifications:
- Education: High school diploma or equivalent; an associate or bachelor’s degree in Business Administration or a related field is preferred.
- Experience: Previous experience in an administrative role, preferably in a consultancy or professional services environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management or CRM software.
- Communication Skills: Excellent written and verbal communication skills to interact with clients and team members professionally.
- Organization: Strong multitasking abilities and attention to detail to manage various administrative tasks efficiently.
- Problem-Solving: Proactive approach to identifying and resolving issues.
- Interpersonal Skills: Ability to build positive relationships with clients, consultants, and team members.
