Hi We’re Smartsourcing, and we’re on the lookout for a Financial Assistant to support our dynamic team This position offers a unique opportunity to work with skilled professionals while contributing to the financial success of our clients.

Where You’ll Be

Your Role as a Financial Assistant

As a Financial Assistant you are responsible for the bookkeeping and data entry accounting. Posting the sales and purchase invoices, reconciling credit card spend and maintaining the accounts inbox to ensure franchisees have a constant point of contact.

Key Responsibilities:

  • Collect and accurately code new sales invoices into the accounting system
  • Ensure that all new supplier information has been collected and been verified.
  • Monitoring the approvals process and ensuring approvals have been granted before finalising the sales invoice.

Purchase Orders

  • Oversee the employee purchase order platform, ensuring correct financial data is submitted
  • Ensure the purchase order approval process runs smoothly and efficiently

Rebate Process

  • Set up and verify supplier information in the accounting system
  • Collaborate with the AF support office team to ensure accurate rebate data and understand supplier relationships

Credit Card & Employee Expense Card Management

  • Manage the collection of credit card receipts and ensure adherence to collection procedures
  • Ensure transactions are correctly coded to the appropriate cost line and department
  • Generate department expense reports following the implementation of the new employee expense system
  • Monitor and report on the available balances of employee expense cards

Requirements

What We’re Looking For:

  • Bachelor’s degree in Finance, Accounting, or a related field.
  • Strong proficiency in Microsoft Excel and financial software (experience with Xero is a plus).
  • Excellent analytical skills with attention to detail.
  • Ability to multitask and meet tight deadlines in a fast-paced environment.
  • Strong communication skills, both written and verbal.
  • Proactive approach to problem-solving and process improvement.
