Overview

Role: Execution-focused Marketing Coordinator (remote). The position focuses on the day-to-day execution of marketing activities to keep campaigns, events, and content running smoothly. The ideal candidate is highly organized, detail-oriented, and capable of working independently after initial training.

Responsibilities
  • Content Publishing & Management: Publish blogs, emails, and social media posts prepared by the Content Strategist. Manage website updates (blogs, event information, menus, banners) and set up/update lists and campaigns in HubSpot.
  • Reporting: Prepare and deliver the monthly marketing report by the first Thursday of each month; ensure accuracy and clear documentation.
  • Events & Conferences: Manage logistics for two annual conferences and recurring webinars, including vendor coordination, booth/furniture ordering, travel coordination (flights/hotels with accounts payable), scheduling promotions, and ensuring invoices are processed.
  • Vendor & Partner Coordination: Serve as the point of contact for vendors and event partners; ensure timely delivery and follow-up.
  • Process Documentation: Create training checklists and keep workflows updated for repeatable processes.
  • Asset & Sales Support: Update marketing assets and sales decks; assist with formatting and asset updates as directed.
  • Financial Documentation: Record marketing purchases and submit receipts/invoices to the admin team within established timelines.
Requirements
  • Tools & Platforms: Proficiency with HubSpot, Google Workspace, Canva, project management software, shared drives; ability to learn vendor portals for event logistics.
  • Expectations: Ability to work independently after training; meet deadlines; maintain accuracy and detail; clear communication with internal and external partners; contribute ideas for process improvements.
  • Nice-to-Have: Familiarity with CRM systems (HubSpot preferred); experience publishing content or updating websites; basic Canva skills (editing templates); experience with Google Workspace and project management software.
  • Experience: Prior experience in marketing support, events coordination, communications, or administrative roles with marketing exposure; healthcare/wellness marketing experience is a plus but not required.
