Executive Assistant – AU Market Experience (Xero)

Location: On-site – Taguig, Philippines

Job Description

The Executive Assistant provides comprehensive support to high-level executives and ensures smooth daily operations. They manage the executive's schedule, coordinate meetings, anticipate needs, and handle confidential information with discretion. They organize information flow, maintain effective communication with internal teams, clients, and external partners, and assist in preparing reports, presentations, and other documents to support strategic decision-making.

Responsibilities

  • Provide senior-level executive administrative support.
  • Schedule and manage calendars and travel across time zones, including flight bookings, accommodations, ground transportation, and visa/permit requirements (if required).
  • Draft and prepare executive-level correspondence (emails, presentations, reports, and other documents).
  • Coordinate materials for meetings (agendas, minutes, presentations) and ensure smooth logistics for internal and external meetings.
  • Assist with coordination of international and domestic marketing assets for project launches and marketing.
  • Manage and reconcile expenses, including creating and submitting expense reports.
  • Assist in planning corporate events, conferences, retreats, and other occasions.
  • Research, gather data, and prepare executive-level reports and presentations.
  • Organize and maintain documents and files for easy access and retrieval.
  • Support various special projects and assignments aligned with executive objectives.
  • Collaborate with the global EA network and cover colleagues as needed.
  • Develop and maintain effective relationships with external clients and internal colleagues.
  • Handling ad hoc duties (e.g., arranging IT support, signing of key documents, assisting new joiners).
  • Safeguard confidential information and maintain discretion in handling sensitive matters.
  • Build positive relationships with stakeholders and adapt to changing priorities with professionalism.

What you need to have

  • Bachelor’s degree or equivalent experience preferred.
  • 2–3 years of executive assistant experience supporting high-level executives (in-country, regional, or global).
  • Proven ability to handle confidential information discreetly.
  • Experience in design and marketing is essential.
  • Strong communication skills across multiple platforms (email, text, in-person, video).
  • Excellent presentation skills; familiarity with InDesign, Canva, and Eloqua is an advantage.
  • Tech-savvy with Microsoft Office, Adobe Acrobat and/or Bluebeam, Webex, Zoom, etc.
  • Ability to work across multiple time zones.
