About the Role As Executive Assistant to the CEO of Steadfast Life, you will provide high-level executive support and play a critical role in ensuring the smooth and efficient running of the CEO’s office. You will act as the central point of contact for the CEO, managing their diary, coordinating meetings, preparing documentation, and ensuring clear communication with internal and external stakeholders. In addition to supporting the CEO, you will also assist members of the Leadership Team as required, helping to align priorities, coordinate activities, and drive execution of organisational objectives. This role requires a proactive, highly organised professional with excellent communication skills, the ability to manage multiple priorities, and the discretion to handle sensitive information. Key Responsibilities Support to the CEO Provide executive-level administrative support, including preparation of documents, reports, and presentations for the Board and other external meetings. Manage the CEO’s calendar and commitments, ensuring effective prioritisation across multiple time zones. Act as the primary point of contact between the CEO, internal staff, and external stakeholders. Coordinate domestic and international travel, itineraries, and accommodation. Prepare and reconcile expense reports accurately and on time. Organise and support key meetings, workshops, and events. Handle confidential matters with integrity and discretion. Support to the Leadership Team Assist Leadership Team members with scheduling, meeting coordination, and follow-up actions as required. Coordinate agendas, actions, and documentation to support effective Leadership Team meetings. General & Operational Support Assist on cross-functional projects and initiatives as directed by the CEO. Support internal communications and cultural initiatives that foster collaboration and engagement. Demonstrate highly developed organisational and time management skills, with acute attention to detail. Maintain strong written and verbal communication skills, engaging confidently with senior executives and stakeholders. Anticipate needs, prioritise effectively, and remain resilient in a fast-paced environment. Maintain discretion and integrity in handling sensitive information. Proficient in Microsoft Office Suite (PowerPoint, Word, Excel); Canva skills are advantageous. Adopt a proactive, collaborative mindset and support both the CEO and broader Leadership Team. Relationships Steadfast Life staff across all departments External stakeholders, referral partners, and service providers Requirement Qualifications Minimum of five years of experience in an executive administrative role for CEO, Board of Directors, or C-level Leadership Team. Bachelor’s degree or college graduate is preferred but not required. Executive assistant experience in global Insurance, Finance, BPO, or shared services industry is an advantage. Willingness to adjust tasks across multiple time zones as needed. Able to work with minimal supervision. Timely and accurate support to the CEO. Effective coordination and prioritisation of executive activities. Smooth execution of meetings, events, and travel arrangements. High-quality documentation and reporting delivered to Board and Leadership Team. Positive feedback from the CEO, Leadership Team, and stakeholders on responsiveness and professionalism.
