Remote Association Manager with CINC experience at VPM Solutions. We’re a fast-growing property management company based in Summit County, CO, specializing in vacation rentals and association management. We’re looking for a driven, detail-oriented, and collaborative Remote Association Manager to join our team and serve as a key point of contact for our HOA clients.
What You’ll DoYou will oversee a portfolio of homeowner associations (HOAs), acting as the primary remote contact for board members, homeowners, and vendors. You\'ll coordinate meetings, ensure compliance with governing documents, and help maintain smooth operations—all from your home office.
Core Responsibilities- Serve as the main liaison for HOA boards and homeowners via email, phone, and video conferencing.
- Schedule and remotely facilitate board meetings and annual meetings (Zoom or similar).
- Prepare agendas, collect supporting documents, and coordinate meeting minutes with administrative support.
- Track and manage HOA compliance matters such as rule enforcement, owner correspondence, and architectural review processes.
- Collaborate with internal accounting to ensure budgets, dues, and financials are accurate and delivered on time.
- Monitor open action items for each HOA and follow up with vendors, internal team members, or board contacts as needed.
- Maintain and update digital records including governing documents, insurance, meeting notes, and maintenance logs.
- Support seasonal planning and proactive communication (e.g., snow removal notices, fire mitigation, summer landscaping updates).
- Minimum 2 years’ experience in HOA management, property management, or real estate coordination.
- Exceptional organizational skills and attention to detail.
- Comfortable working independently, managing multiple projects and deadlines.
- Proficiency in Google Workspace, Zoom, and HOA/PM software (AppFolio, Buildium, or similar). CINC Systems preferred
- CMCA or AMS certification (or interest in obtaining).
- Experience working remotely in a startup or small business environment.
- Familiarity with Colorado HOA regulations (or willingness to learn).
- 100% remote with flexible work hours.
- Zoom, Google Workspace, and property management platforms used daily.
- Must have a quiet, professional home office setup and reliable internet.
- Responsiveness to board and homeowner communication (within 1 business day).
- On-time delivery of meeting agendas, budgets, and reports.
- Positive feedback from boards (CSAT or qualitative).
