Job Description The Operations Supervisor takes responsibility for overall supervision of warehouse operations by planning, organising, controlling, and directing the day‑to‑day activities through the implementation of quality, productivity and customer‑service standards that align with the company vision, mission and direction to ensure efficient and quality service is sustained. Key Tasks and Responsibilities Warehouse Management Plan and supervise overall warehouse operations: unloading, receiving, staging and orderly stacking/storage of items in accordance with the quality policy and the SOPs defined by the company. ✓ Oversee and ensure the completion and accuracy of all inbound operations from receiving of goods up to shelving and system update, completed on‑time and within agreed TAT. ✓ Oversee and ensure the completion and accuracy of all outbound operations from receiving of goods up to shelving and system update, completed on‑time and within agreed TAT. ✓ Review system location accuracy, warehouse capacity and create necessary reconciliation and corrective action for all variances. ✓ Organise and maintain warehouse space allocation and utilisation to standard. ✓ Conduct a thorough warehouse search when missing items are reported. ✓ Oversee the completion and accuracy of all inbound/outbound documentation, including accesses, releases, customer delivery receipts and inventory updates. Responsible for cross‑communication between departments. Oversee the completion and accuracy of all relevant details entered into the RSSQL system as shipments are received and shelved. Direct daily housekeeping and maintain a clean, neat and orderly work area; ensure all security policies and procedures are followed. Ensure efficient and safe operation of all material handling equipment. Workflow and Process Work closely with the Branch Origin and Destination Services Team(s) to ensure seamless delivery of service to each customer. Observe Crown’s published workflow practices: Process for Inbound & Outbound Operations, Inventory Management, Crown Quality Manual, RSMobile use and RSQQL System, Storage Management. Review and update policies, procedures, guidelines and work instructions through strategic planning and cascade to the team for a more efficient fulfillment system. Plan warehouse layouts to maximise inventory controls, facility layout, flow and related data analysis. Evaluate, design and propose warehouse solutions in support of new and existing business. Administrative Functions Prepare/propose warehouse operations policies and procedures for improvement. Formulate/revise KPI measurements aligned with company policies and SOPs, prepare monthly KPI reports, analyse performance and implement action plans. Drive continuous improvement by participating in cross‑functional project teams. Conduct root‑cause analysis and create/implement corrective‑preventive action plans. Schedule work beyond normal reporting time and monitor overtime. Report safety violations and potential hazards to support safety initiatives. Maintain and supervise warehouse cost control. Quality Awareness Be the expert on regular warehouse operational processes. Coordinate with other sections on inventory accuracy and stock quality issues. Identify root causes of defects or non‑conformities, recommend appropriate corrective/preventive actions and verify effectiveness. Ensure the quality policy in warehouse storage and handling is implemented and followed. Ensure compliance with all regulatory body requirements (Occupational Health & Safety). People and Performance Management Provide overall management and leadership to the team. ✓ Monitor and evaluate performance against targets and KPIs. ✓ Contribute to a culture of work excellence through performance goals and continuous improvement. Plan work schedules, assign duties and maintain adequate staffing for unloading and shelving operations. Liaise daily with Operations Manager(s) regarding manpower requirements. Assist Operations Manager(s) in planning and prioritising store work. Provide assistance where needed for timely completion of all duties. Ensure all staff observe Crown’s published procedures and House Rules. Other Ensure proper filing system of all records and its maintenance. Perform other duties as assigned by Management. Work closely with Operations Management for continuous improvement and best practice in all warehouse operations. Maintain a watchful brief over warehouse maintenance, reporting building faults and damage. Ensure all required maintenance checks on forklifts and equipment are completed per company compliance and H&S requirements. Maintain accurate records for ISO and OSH. Complete other duties as requested by Operations/Area Manager. Ensure all internal audits are up to date. Demonstrate and promote the company vision and values. Professional Knowledge and Skills Knowledge of safety and legal procedures for handling and receiving goods. Ability to read and comprehend documents, write reports and correspondence, speak/present to small groups. Knowledge of warehouse machinery and equipment, e.g., forklifts. Exceptional interpersonal skills and ability to build collaborative relationships. Strong administrative and organisational skills with attention to detail. Proficient in Microsoft Office (Word, Excel). Strong verbal and written communication and presentation skills. Cultural sensitivity and awareness.
