Responsibilities

Your role is critical to ensuring a seamless flow of import/export shipments. You'll be in charge of:

AP / AR Functions:

  • Accounts Payable - Job Posting
  • Accounts Payable - Overhead Posting
  • Accounts Payable - Payment Matching
  • Accounts Payable - Vendors Statement of Account Reconciliation
  • Accounts Receivable - Collection Call
  • Accounts Receivable - Collection Call Follow-up/Update
  • Accounts Receivable - Creation of Statement of Account
  • Accounts Receivable - Credit Review
  • Accounts Receivable - Job Invoicing and Posting
  • Accounts Receivable - Payment Receipting
  • Accounts Receivable - Reminder Call
  • Accounts Receivable and Payable - E-Docing
  • Accounts Receivable and Payable - WIP and ACRs Review

Admin Tasks:

  • Adhoc Tasks Assigned by Support Team Manager
  • Agent Onboarding - Agent Set-up Form
  • Agent Onboarding - Organization Creation/Update
  • Client Onboarding - Client Set-up Form
  • Client Onboarding - Credit Approval Request
  • Client Onboarding - Credit Check
  • Client Onboarding - Internal Credit Limit Checklist
  • Client Onboarding - Organization Creation/Update
  • Exchange Rates Updates

Operations:

  • Job Registration - Air Freight
  • Job Registration - E-Docing
  • Job Registration Update - Air Freight

Generic tasks

  • Enter data from source documents into prescribed computer database, files and forms
  • Check completed work for accuracy and correct data when necessary
  • Comply with data integrity and security policies
  • Provide customers with product and service information with highest quality standard
  • Research required information using available resources

Operations

  • Creating and managing orders for new shipments
  • Creating import and export FCL, LCL, and Air forwarding jobs
  • Sending pre-alerts, manifest, arrival notice, forwarding instructions and other documents
  • Lodging Sea Cargo, Export Customs Manifest, PRA
  • Sending documents to brokers for Import Clearance, EDN request for Export Clearance
  • Sending cartage advise, EDO, and other necessary documents to transport
  • Coordinate cartage with transport and client
  • Monitor customs clearance, follow up on missing documents and requirements to complete clearance
  • Send invoices to the clients once costing is approved and follow-up payment
  • Send payment request for COD payments such as: disbursements to broker, port charges to shipping line
  • All email correspondence

Requirements

What You Bring to the Team

We’re looking for someone who’s ready to hit the ground running, with:

  • 3–4 years of experience in freight forwarding or logistics (required)
  • Preferably aLicensed Customs Broker
  • Hands-on experience withimport/export data entry
  • Graduate ofBS Customs Administration or related program
  • Familiarity withCargoWise (a big advantage)
  • Typing speed of 45 WPM or more, with a strong focus on accuracy
  • Detail-oriented, organized, and able to multitask
  • High computer literacy and MS Office proficiency
  • Strong English communication skills—both written and verbal
  • A proactive mindset and ability to stay calm under pressure
  • A true team player who thrives in a fast-paced environment
