IMPORT ADMIN

Key Responsibilities:

Documentation & Data Entry

  • Prepare, check, and process import documentation (e.g. Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin).
  • Enter and update shipment data into internal systems and databases.

Shipment Coordination

  • Liaise with freight forwarders, carriers, and customs agents to ensure timely arrival and clearance of goods.
  • Track shipments and provide status updates to relevant internal departments.

Customs & Compliance

  • Ensure all imports comply with local and international customs laws and regulations.
  • Maintain accurate records for audits and regulatory requirements.
  • Apply for import licenses or certificates if needed.

Procurement & Inventory Planning

  • Raise and manage purchase orders with overseas suppliers in line with demand and

stock levels.

  • Monitor stock levels and reorder points to ensure product availability.
  • Coordinate with suppliers to confirm lead times and ensure on-time delivery of goods.

Demand Forecasting

  • Analyze historical sales data, seasonal trends, and upcoming promotions to forecast

product demand.

  • Work closely with the sales and planning teams to align supply with business needs.
  • Adjust forecasts and orders based on market trends and inventory performance.

Communication & Support

  • Coordinate with procurement, warehouse, and finance teams on incoming shipments.
  • Resolve delivery or documentation issues with suppliers and forwarders.

General Administration

  • Maintain accurate filing systems for all import and purchasing records.

EXPORT ADMIN

Export Documentation & Compliance

  • Prepare and process export documentation, including Commercial Invoices, Packing Lists,
  • Export Declarations, Certificates of Origin, and Bills of Lading.
  • Ensure that all shipments comply with international trade laws, export control regulations, and customer-specific requirements.
  • Liaise with chambers of commerce and government bodies for legalization or certification of export documents if needed.

Shipment Coordination

  • Arrange and book international transport with freight forwarders, couriers, and shipping lines.
  • Monitor and track shipments, providing timely updates to internal teams and customers.
  • Ensure correct export labeling, packaging, and documentation are in place to avoid customs delays.

Customer & Internal Communication

  • Serve as a point of contact for customers regarding shipping schedules, document queries, and delivery timelines.
  • Coordinate with sales, warehouse, and finance teams to ensure timely dispatch and invoicing.
  • Respond to customer inquiries about shipping status or documentation requirements.

Export Licensing & Recordkeeping

  • Apply for and manage export licenses when required (e.g., dual-use goods, controlled items).
  • Maintain accurate and auditable records of all export transactions in line with regulatory requirements.

General Administration & Support

  • Maintain accurate and organized records of all export documentation and correspondence.
  • Generate and issue export invoices and support finance with reconciliations or audits.

Job Type: Full-time

Pay: From Php18,000.00 per month
