JOB DESCRIPTION
We are seeking a detail-oriented and organized Leasing Coordinator to support our leasing operations. This role is responsible for managing the approval process for new tenants, overseeing lease administration, and coordinating lease renewals. The ideal candidate is proactive, highly organized, and capable of managing multiple tasks in a fast-paced environment. Prior experience in property management or leasing is preferred.
JOB DUTIES
Approvals:
- Call applicants to notify them of approval.
- Schedule move-in/lease start dates.
- Send tenant portal activation instructions, coordinate payment of hold deposit, and monitor timely payment.
- Draft and send “Welcome Packet” and hold deposit agreement; follow up to ensure signature completion.
- Review and send lease agreement; monitor for signature completion and update tenant ledger once executed.
- Send “move-in day” instructions and ensure tenants understand the move-in process.
Administration:
- Audit and review application tracker in Excel; monitor status in Findigs (application review software).
- Audit leasing agent schedules in Excel and ShowMojo; ensure timely updates.
- Monitor and answer leasing emails, forwarding urgent matters to the Director of Leasing.
- Track unit readiness, flag units not updated, and provide weekly lists to the Director of Leasing for pricing and marketing decisions.
- Schedule and upload photos for approved units in OneDrive and AppFolio.
- Audit listing syndications and information for accuracy; notify of discrepancies.
- Assist in answering leasing calls during standard business hours (Mon–Fri, 10 AM–4 PM).
- Update property access tracker and leasing commission tracker.
- Monitor and update the renewal tracker with targeted units as guided by the Director of Leasing.
- Initiate renewal discussions with tenants via text/email; report negotiations or concerns.
- Send renewal agreements, monitor for completion, and update AppFolio upon execution.
- Draft and send miscellaneous addendums as needed.
QUALIFICATIONS
- 2+ years of leasing coordinator or property management experience.
- Bilingual (English and Spanish) preferred.
- Proficient in Microsoft Word, Excel, and property management software such as AppFolio or similar.
- Ability to multitask while handling administrative duties and incoming calls.
- Thrives in a fast-paced environment.
- Strong organizational and prioritization skills.
